Value categories

Value can come from additional revenue, recovered leads, increased capacity, faster turnaround, lower error and rework cost, improved retention, extended service coverage, or reduced risk. Distinguish hard-dollar impact from time that may or may not be converted into financial value.

Core formulas

Annual net benefit = annual quantified benefit − annual operating cost.

ROI % = (benefit − cost) ÷ cost × 100.

Payback period = initial investment ÷ monthly net benefit.

Use ranges for uncertain inputs and show base, downside, and upside cases.

Example framework

Suppose a business receives 1,000 monthly requests. Establish the current completion time, error rate, labor involvement, abandonment, and revenue conversion. In a pilot, measure the agent-assisted version against the same definitions. Apply observed—not imagined—improvements to the eligible volume, then subtract all recurring and implementation costs.

Avoid valuing every saved minute at full salary, ignoring review and maintenance, counting gross activity as successful outcomes, extrapolating from a tiny demo, or excluding failure costs. A defensible model states assumptions and updates them with production evidence.
